Problem Analysis
When we were analyzing the business operations, we noticed that sales were the main part of the business operations. The business operates and generates sales between the hours of 10 AM and 7:30 PM. The customers are assisted by employees at the front desk to process the transaction. The information system that the business uses to fulfill this procedure is called Vagaro. Vagaro is a POS system with an assortment of features that enables users to create appointments, view emails, store information and demographics, customer memberships, record sales, and process payments. This information system is very crucial for the business to operate, as it allows the employees and owner to keep track of inventory, customers information, sales, etc.
Certain data that is collected by the POS system is used to manage inventory by analyzing and focusing on the sales and services that are used the most. Products that are used in the popular services are ordered accordingly. Other products that need stocking are also ordered depending on the number of services. Since Everlasting Haven & Spa is a small business with only one location and a small team of 5 employees to work with, there is not any silo problem when it comes to information being passed around. The owner is present every day to oversee operations, if there is any miscommunication or information that needs to be shared it is taken care of quickly to prevent further problems. The team also does a good job of coordinating with each other in order to get day-to-day operations done.
There is no inter-organizational application since the company does not deal with any e-commerce or online sales which means everything is purchased in the store. The hardware needs some improvements such as adding a device for apple pay and google pay for customer convenience. The POS system is standard for taking a physical credit card and cash. With the hardware having an ad on the software would need to be updated in order to integrate apple pay and google pay in order to track sales.
The database is simple and easy to use which means it does not need to be changed, customer information is easy to find via profiles, and the check out is automatically calculated along with tips based on the service provided. Everlasting Haven & Spa uses cloud computing in the form of google docs, Vagaro, and google spreadsheets. All three help with mapping out and planning ahead for future references. The people and procedures are connected together really well since it is mainly a service business the service is provided and the customer is charged. The business has a social media plan in place in order to boost sales and attract more customers.
Whenever there is a promotion going on all the social media platforms that the business uses are updated in order to notify existing customers as well as to attract new customers who are looking for the product or services that are being provided. Other social media updates are also in places such as store hours and closures for holidays or maintenance. Social media is utilized to keep customers updated with the latest trends, promotions, and general information about the company.
