Structured Process

    When breaking down Everlasting Haven & Spa is about, it is a privately owned store; There is only one store located in Westfield New Jersey with only five employees that do the day-to-day operations around the store. The products and services that are offered are as follow; Shira Organics, Nature Pure, Pfb, Sugaring, and Cryotherapy. Services that are offered are skincare, facials, massages, lipomelt, anti-cellulite treatment, microdermabrasion. There are a variety of services as well as products that Everlasting Haven & Spa has to offer to their customers.


    The massages that are offered are therapeutic, couple massages, and package massages; these massages also range from 30 minutes to 120 minutes. The other services that are offered are facials include hydro facials, anti-acne and pores facials, and harmonizing facials. Lipomelt training would include using Shira organics products to remove cellulite from certain areas of the body. There are two types of cryotherapy sessions and those are muscular and skin-care, the customer can choose from any of these two. Muscular cryotherapy includes using a cryotherapy machine to help relieve pain from the muscles in clients’ bodies. They have the option to continue this treatment for as long as they would like. The skin-care cryotherapy sessions help with skin acne, wrinkles, discoloration, and inflammation.

    Essentially, this is for customers that have an ongoing skin problem or wish to get rid of some of the imperfections that they have on their skin. Other services also include brow tinting and brow shaping which focuses on the eyebrows and the customer can choose between the two options. Sugaring is also another service offered which is an all-natural way of removing unwanted hair from the clients’ bodies. It is a popular option for hair removal without the use of strong chemicals that can damage the skin.

    Everlasting Haven & Spa acquire their customers day to day by appointment only and can range from 5-8 clients daily during COVID. Before COVID, the client range would be 10-16 daily which is double before COVID. The processes that take place which would be classified as ‘critical’ would be; preparing rooms for clients, stocking laundry for spa, managing product inventory, preparing customer forms (their consent, demographics, COVID-19 forms, etc), cleaning and sanitization work stations, and general customer service. All these processes are what make up the day-to-day operations of Everlasting Haven & Spa.

    Employees reflect the sales process, some employees are service providers but also manage the front desk instead of hiring a full-time employee for the front desk. This disables the system in Vagaro to work efficiently as some information is missing or not updated correctly because they manage everything causing human error. Sales would get tampered with as scheduling would be a factor as well as sales and service availability. This would prolong appointment times for customers that would just eventually go to competitors.

    This diagram is disintegrated as there is no efficient way of communicating with the inventory supplier, or the service provider and the information in the current business model plan is not up-to-date. The database including demographic information is filled out in paper and updated manually by employees. This leaves an amount of human error to occur and leaves the responsibilities of the business getting its sales to the employees themselves. Orders that have to come in are not properly placed or put into account in the vargo system database. This will lead to many orders going unchecked causing supply problems for the team. Service as well may also be inconsistent.
